OWCOL Mail
Mailcow by OWCOL — OWCOL Mail — provides mailboxes and mail transport for OWCOL addresses. This supplement covers sending limits, spam, deliverability, and message retention.
01Scope
This supplement applies to Mailcow by OWCOL, reachable at mail.owcol.com. It sits on top of the OWCOL General Terms and the OWCOL Privacy Policy, both of which apply in full. Where this supplement and the General Terms conflict, this supplement controls — for this service only.
02What this service is
OWCOL Mail is a self-hosted deployment of mailcow at mail.owcol.com. It provides your mailbox, webmail, and IMAP and SMTP access, along with aliases, filtering, and spam protection.
03Access and accounts
Mailboxes are provisioned by the administrator. Sign in to webmail through OWCOL SSO; for IMAP, SMTP, and other mail clients, use the mailbox credentials or an application password supplied to you.
Your address, aliases, and any group or role addresses are assigned by OWCOL and remain OWCOL property. An address may be reassigned after an account is closed.
04Service-specific rules
Email abuse damages the reputation of the entire mail server and every user on it. In addition to the General Terms, when using OWCOL Mail you agree not to:
- Send unsolicited bulk email, marketing blasts, chain mail, or newsletters to lists you did not collect with consent.
- Send phishing messages, forge headers, spoof a sender, or misrepresent who you are.
- Relay mail for third parties, or use the server to send on behalf of a domain you do not control.
- Distribute malware or malicious attachments.
- Exceed the sending, recipient, or message-size limits applied to your mailbox, or attempt to work around them.
- Auto-forward mail in a loop, or configure forwarding that causes bounce storms.
- Use the mailbox primarily as file storage. Use OWCOL Office for files.
Deliverability is not guaranteed
Whether your mail reaches a recipient is decided by the recipient's provider, not by OWCOL. Messages may be delayed, filtered to spam, or rejected outright for reasons outside our control, including IP or domain reputation. Do not use OWCOL Mail for time-critical, safety-critical, or emergency communication.
Incoming mail is scanned for spam and malware. Filtering is imperfect in both directions: legitimate mail is sometimes quarantined, and unwanted mail sometimes arrives. Check your junk folder before assuming a message was never sent.
05Your data here
Your mailbox contents, folders, filters, aliases, and contacts are stored on OWCOL infrastructure. Mail is protected with TLS in transit where the other server supports it, and stored encrypted at rest at the storage layer — but it is not end-to-end encrypted. The administrator is technically able to access mailbox contents when operating the system, and does so only when necessary.
Mail transport logs — sender, recipient, timestamps, size, IP addresses, and delivery result, but not message bodies — are kept for abuse handling and troubleshooting, as described in the Privacy Policy.
Mail sent to and from you passes through third-party mail servers you do not control. Once a message leaves OWCOL, its handling is outside our reach.
Export your mailbox at any time over IMAP with a desktop client, or by downloading from webmail.
06Availability and maintenance
OWCOL Mail is provided on the same reasonable-effort, no-SLA basis as every other OWCOL service. See Availability and changes in the General Terms.
Storage quotas apply to mailboxes. Mailboxes that are unused for an extended period may be archived or closed after notice to the address on file.
The administrator may enforce rate limits, hold outbound mail for review, or suspend sending from an account that triggers abuse signals — usually a compromised account — without prior notice.
07Ending your use
On closure, your mailbox and its contents are deleted after the retention period in the Privacy Policy. Mail sent to the address afterwards will bounce or be discarded, and no forwarding is provided by default. Download your mail before your account closes.
OWCOL may suspend or terminate access to OWCOL Mail under section 9 of the General Terms.
08Upstream software
Mailcow by OWCOL is an independently operated deployment of mailcow: dockerized, an open-source project. OWCOL is not affiliated with, endorsed by, or sponsored by the mailcow project, and the mailcow project provides no support or warranty for this deployment. All trademarks belong to their respective owners.
Upstream updates may change or remove features without notice from OWCOL.
